Shipping Your New Equipment
As the Service and Logistics Manager for UltraClean, I oversee getting parts to customers with broken equipment, as well as shipping new and used equipment cross country (or countries) to the customer’s facility.
The process is fairly straightforward, with UltraClean using Old Dominion Freight Lines for our LTL shipments these days thanks to their protective service. It’s paid off in terms of freight damage claims- ODFL has a 0.3% loss/damage rate, the best in the LTL industry.
0.3% is phenomenal, but it does not equate to an even “0.”
In March of 2012, I shipped some stainless steel laundry carts to a customer via a 3PL (3rd Party Logistics) company we were using at the time. The customer got the carts, palletized and shrink-wrapped, unloaded on their dock. They ostensibly signed the Bill of Lading and the driver left.
Ten days later, I got a frantic email loaded with pictures of damaged carts. Obviously the carts had been damaged in transit, either dropped or rammed by a forklift. Our 3PL provider sat on the last 5 days to file a claim, and in the end we replaced the customer’s carts out of pocket and settled with the 3PL company for about 20% of the losses UltraClean took; but we learned some valuable lessons.
First, it is imperative that our customers know to check your equipment before the driver leaves. I know that most drivers want to drop their cargo, make you sign the BOL and run. Don’t let them go until you’ve uncrated and unwrapped the cargo. When it comes to a $50,000 dryer, you can’t afford to assume that everything is in good order under the plastic wrap just to let the truck driver or your receiving staff save time. Even if the driver is refusing to sign the BOL, or promising you if you just sign it you can report unseen damages later.
With a dryer or any finished goods from UltraClean, you are essentially ordering oversized lab equipment. These machines have calibrated probes, specialized controls, and painstakingly aligned components. They’re sturdy, but when you drop a 1200lb machine from eight feet in the air, there can be some internal damage. Wires can come loose. Please check your equipment upon arrival! Most freight carriers have a 15 day claim period, and we will work with you to get the carrier all pertinent information so that we can get a claim filed ASAP- but we have to have communication and cooperation. Pictures, a BOL that points out the damage, and quick turn around on emails. Emails are also very important because they leave us all a written trail that leaves nothing to misunderstanding. In the end, we will have you equipment that runs well and fills the requirements of your company.
